We prioritize ensuring that you are informed at all times when we store your personal data and how we use it. We collect, process, and use your personal data in accordance with the applicable European and German data protection regulations. 
 
General information

With this data protection declaration, we aim to inform you about when and how we collect personal data while you use the Solvia website and our services, as well as how we use your data. We outline the types of personal data collected, the extent of that collection, and the purposes for which we use your personal data. We encourage you to read the following statements carefully. This declaration on data protection applies exclusively to our own online presence. The website may contain links to third-party websites; our data protection declaration does not apply to those sites. By agreeing to this data protection declaration, you consent to the collection, processing, and use of your personal data in accordance with the applicable data protection regulations and the provisions outlined herein.

Personal data refers to information that can be used to identify an individual, including, for example, your name, email address, or telephone number. Some data may be generated automatically through technical processes while using the internet, while other data is entered by you on our platform to utilize the full range of Solvia services. We collect, use, and share personal data only to the extent permitted by law or if you have provided your consent.

Data Collection

Every time you access a page on our website or when a file is retrieved, access data regarding this process is stored in a log file on the server. This information includes, in particular:

 

  • File name of the retrieved content (or transmitted content when using the services)

  • Date and time of the request

  • Amount of data transferred and access status (e.g., content transferred, content not found)

  • Operating system, browser, and device type

  • Screen resolution, language, and time zone settings

  • Referrer URL (e.g., the internet page that was visited previously)

  • IP address and name of the Internet service provider
     

The IP address of your computer will only be stored for the duration of your visit to our website and will be deleted immediately afterward or anonymized by shortening. We collect the aforementioned data because it is technically necessary for us to display our website and ensure its stability and security. The legal basis for this is Art. 6 para. 1 sentence 1 lit. f) of the GDPR.

In addition, we collect personal data when you use the contact form, access our services, register, create or expand your profile, and communicate via email. This data is also used for the analysis and presentation of suitable candidates or companies, career optimization, and improving our offerings.

Use of Data

Solvia will use your data for the following purposes:

 

  • Provision of the requested services, such as connecting healthcare professionals with employers.

  • Ensuring the best possible user experience, including profile editing and managing privacy settings.

  • Fulfilling our contractual obligations towards you, for example, notifying you about requests from interested parties (invitations to interviews) via the platform, email, or telephone.

  • Enabling you to participate in our interactive services.

  • Informing you about changes to our services.
     

On our website, you can register and create an account to use our services as an online job platform. If you want to register as a candidate, you must provide personal data such as your name and email address. Additionally, information such as language proficiency, skills, career path, education, and workplace must be entered. You can also log in using your LinkedIn, Facebook, or Instagram account (see our comments on social media log-ins below for more information). In this case, it may be necessary to provide additional information such as your name, photo, or current position. Solvia may contact candidates to obtain further necessary information and adjust profiles accordingly.

To register as an employer, you will need to provide the company name, location, number of employees, contact person, and contact email address. The information required for the execution of the contractual relationship will only be processed for this purpose. Companies typically review candidate profiles to find specific skills and contact candidates directly. Additionally, Solvia may contact candidates or companies via telephone, email, or messaging services to suggest matches based on their profiles. The legal basis for processing is Art. 6 (1) sentence 1 lit. b) of the GDPR.
You can revoke the storage of your data at any time. The data you provide and your entire user account can always be deleted in the customer area. You are responsible for treating your personal access data confidentially and not sharing it with unauthorized third parties. Solvia assumes no liability for misused passwords unless we are responsible for the misuse. Please inform us immediately if you suspect that a third party has gained access to your password or if your password has been used or may be used without authorization.
You are responsible for ensuring that the information you provide to us is accurate and complete, and for notifying us of any changes to that information. You may view and update the information you have provided and your account settings on the site. After communicating with Solvia, please log out and close the browser window, especially if you share a computer with others.
Due to commercial and tax law requirements, we are obliged to store your address, payment, and order data for a period of 10 years. However, after 2 years, we will restrict the use of your data so that it may only be used to comply with legal obligations.

Information Disclosure

We do not share your personal data with third parties unless you have consented to the transfer, it is necessary for the purpose of contract implementation, or we are legally obligated to do so. Companies that we partner with to place candidates and match them with suitable job opportunities will have access to candidate profiles. As such, personal data may be shared with these companies. However, these companies are only permitted to process the corresponding personal data in connection with the application process, specifically to store the data in their applicant database and to contact candidates if they express interest. The legal basis for this processing is Art. 6 Para. 1 Sentence 1 lit. b) and f) DS-GVO.

Furthermore, your personal data will not be transferred to third parties for purposes other than those outlined here. We only share your personal data with third parties if:

 

  • You have given your consent in accordance with Art. 6 Para. 1 Sentence 1 lit. a) DS-GVO.

  • The disclosure is necessary under Art. 6 Para. 1 Sentence 1 lit. f) DS-GVO for the assertion, exercise, or defense of legal claims, and there is no reason to assume that you have a compelling interest worthy of protection against such disclosure.

  • We have a legal obligation to share your data in accordance with Art. 6 Para. 1 Sentence 1 lit. c) DS-GVO.
     

The sharing is legally permissible and required under Art. 6 Para. 1 Sentence 1 lit. b) DS-GVO for processing contractual relationships with you

We use cookies on our website. These are small files that are automatically created by your browser and stored on your devices (laptop, tablet, smartphone or similar) when you visit our site. The data processed by cookies is required for the above-mentioned purposes to protect our legitimate interests and those of third parties in accordance with Art. 6 Para. 1 S. 1 lit. f DSGVO. Most browsers automatically accept cookies. However, you can configure your browser so that no cookies are stored on your computer or so that a message always appears before a new cookie is created. However, completely deactivating cookies may mean that you cannot use all the functions of our website.

Use of Social Media Plugins

We may use social media plugins from networks such as Facebook, Twitter, Instagram and LinkedIn on our website, thesolvia.com, based on Art. 6 para. 1 sentence 1 lit. DS-GVO to enhance our company's visibility. The underlying advertising purpose is considered a legitimate interest under the DSGVO. The responsibility for ensuring data protection compliance lies with the respective providers. We implement these plugins using the so-called two-click method to protect visitors to our platform as much as possible.

 

  • Facebook: Our platform integrates social media plugins from Facebook to personalize user experience, including the “LIKE” and “SHARE” buttons. When you access a page that contains such a plugin, your browser establishes a direct connection with Facebook servers. Facebook receives information that your browser has accessed the corresponding page of our website, even if you do not have a Facebook account or are not logged in. This information (including your IP address) is sent directly to a Facebook server in the USA and stored there. If you are logged in to Facebook, it can directly associate your visit to our platform with your Facebook account. If you interact with the plugins, such as by clicking the “LIKE” or “SHARE” button, this information is also sent directly to a Facebook server.   • Twitter: Our website features plugins from Twitter Inc., identifiable by the Twitter logo. When you visit a page containing a Twitter plugin, a direct connection is established between your browser and Twitter’s server. Twitter collects information about your visit, including your IP address. If you click the Twitter “tweet button” while logged in, you can link our content to your Twitter profile. When you access a page with such a plugin, your browser establishes a connection to LinkedIn’s servers, sending information about your visit, including your IP address. Integration of Third-Party Services and Content

We may incorporate content provided by third parties on our website, thesolvia.com, based on Art. 6 para. 1 sentence 1 lit. f DS-GVO. This includes map material through Google Maps (hereinafter “plugins”).

Google Maps: Our platform utilizes Google Maps for map material, operated by Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA (“Google”). These plugins are identifiable by the Google logo in the map section. When you access a page of our website containing such a plugin, your browser establishes a direct connection to Google’s servers. The content of the plugin is transmitted directly from Google to your browser and integrated into the page. Through this integration, Google receives information that your browser has accessed the corresponding page on our platform. This information (including your IP address) is sent directly to a Google server in the USA for connection establishment and is stored there. Storage of Data:

If you send an inquiry to Solvia, we will retain the communication history along with any information and data (e.g., e-mail address) exchanged during this communication to address your inquiries and any follow-up questions. We will delete the relevant data when it is no longer necessary for storage or will restrict processing if legal retention periods apply.

Our Contact Form:

For questions or concerns, we provide a contact form on our website. A valid email address is required so that we can identify the request and respond accordingly. You may provide additional information voluntarily.

Data processing for contacting us is conducted in accordance with Art. 6 para. 1 sentence 1 lit. f DSGVO to protect our legitimate interests.
The personal data collected via the contact form will be automatically deleted once processing is complete, unless there are legal storage obligations. You can object to the processing of your personal data at any time, pursuant to Art. 6 para. 1 lit. f DSGVO.

Online Applications:

We appreciate your interest in joining Solvia. We understand the sensitivity of handling your personal data during the application process. You can apply for a position with us by using the relevant online form on our career page. We require certain personal data to process your application, including your contact information (first name, last name, (mobile) phone number, email address) and your CV, which may also include special categories of personal data.

The processing of this data is essential for initiating an employment relationship, primarily based on Art. 6 para. 1 lit. b DSGVO in conjunction with § 26 para. 1 BDSG. Additionally, consent pursuant to Art. 6 para. 1 lit. a, 7 DS-GVO in conjunction with § 26 para. 2 BDSG may be utilized as a basis for data protection permission. If processing relies on consent, you have the right to revoke it for future actions.
Upon receipt of your application, an initial review will be conducted. During this online application process, only the personnel necessary to handle your application will have access to your data. Your personal data will never be shared with third parties without authorization.
Your application data will be stored and processed throughout the application process. After the process is completed, all personal data will be deleted after six months. In the event of acceptance, we reserve the right to retain your application for a longer duration.
 
Data Security:

We implement all appropriate technical and organizational security measures to protect your data from manipulation, loss, destruction, or unauthorized access by third parties. Our systems are secured against unauthorized access; however, we must emphasize that absolute data security cannot be guaranteed over the Internet despite all technical precautions. We are not liable for actions taken by third parties.

Your Rights Against Solvia:

Regarding your personal data, you have the rights to access, correct, or delete it, restrict processing, object to processing, and data portability. Solvia is available for any inquiries or communications from users at the provided address. Please note that user data can only be deleted if there are no conflicting legal provisions. Information will always be transmitted electronically (via email). If you choose to communicate via email, the address provided (both sender and recipient) will not be used for purposes other than providing information and documentation. You also have the right to lodge a complaint with a data protection supervisory authority regarding our processing of your personal data.
Should we be legally obligated to disclose data to local, state, national, or international authorities, we will comply with such obligations. Additionally, we may disclose information to investigate, prevent, or take appropriate action concerning illegal activities or suspected fraud, or to enforce our contracts and licensing rights.

Right of Objection:

If your personal data is processed based on legitimate interests pursuant to Art. 6 para. 1 sentence 1 lit. f DSGVO, you have the right to object to this processing according to Art. 21 DSGVO if there are reasons related to your particular situation or if the objection relates to direct advertising, which also includes profiling based on these provisions. In this case, you have a general right to object, which we will implement without requiring a specific situation to be stated. We will no longer process personal data unless we can demonstrate compelling, legitimate reasons for the processing that override your rights and interests, or unless the processing serves to assert, exercise, or defend legal claims.

If you wish to exercise your right of revocation or objection, please send your request by email or post to the address provided at the beginning and end of this document, clearly identifying yourself.

Up-to-Date and Amendment of This Privacy Policy:

This privacy policy is currently valid and has been in effect since October 2024.

As our platform evolves or due to changes in legal or regulatory requirements, it may become necessary to amend this privacy policy. We reserve the right to modify this privacy declaration. The current privacy policy can be accessed and printed at any time on our website.
